YCDSB Registration & Catholic Eligibility: Parent Guide

Registration becomes much easier once a family separates four questions: Is my child eligible? Which school serves our address? Which original documents are required? Does a separate program or transfer approval apply? This guide walks through those questions in the order a school team would normally address them.

Quick answer: Standard YCDSB elementary admission normally requires a qualifying Catholic baptismal certificate for the child or a parent. Limited exceptions exist, but require review. YCDSB secondary schools do not require a baptismal certificate, although students complete Religious Education and participate respectfully in Catholic school life.

Elementary and secondary admission are different

A common mistake is applying the secondary-school rule to elementary registration, or the elementary baptismal requirement to high school. Always begin with the child’s entry grade.

Current registration dates

  • YCDSB continues to accept registrations for the 2026–27 school year.
  • 2027–28 secondary registration is scheduled to open October 19, 2026.
  • 2027–28 elementary registration is scheduled to open January 4, 2027.

Specialty programs, out-of-boundary requests and capped schools may use separate dates. Check the live YCDSB Admissions page before relying on a date saved from an earlier year.

How to register: the practical sequence

  1. Find the designated school. Enter the complete home address in the YCDSB School Locator and select the correct school year and program.
  2. Choose the correct form. Use elementary for JK–Grade 8 or secondary for Grades 9–12. French Immersion, specialty programs, international admission and transfers may require extra steps.
  3. Gather original documents. An online form does not replace the school’s document-verification appointment.
  4. Submit online and save confirmation. Note which email address you used.
  5. Book the school appointment. Follow the school’s email and bring the requested originals.
  6. Confirm each decision separately. Registration, program admission, transfer approval and transportation are not the same decision.

Original-document checklist

Elementary: JK–Grade 8

  • Catholic eligibility: a qualifying baptismal certificate for the student or a parent, unless Admissions approves a limited policy exception.
  • Proof of age: such as a birth certificate or passport.
  • Status in Canada: the applicable Canadian citizenship, permanent-resident, refugee-claimant or other valid status document.
  • First residency document: property-tax bill, purchase agreement or lease/rental agreement.
  • Second residency document: an accepted utility, landline or other listed document. YCDSB says a driver’s licence is not accepted for this requirement.
  • English separate-school support: proof or the applicable school-support forms, where eligible.
  • Guardianship records: where a student under 18 is not living with a parent.

Secondary: Grades 9–12

  • Proof of age.
  • Proof of status in Canada.
  • Two accepted residency documents.
  • Separate-school support designation or proof, where eligible.
  • Guardianship and commitment documents when required.

A baptismal certificate is not part of the standard YCDSB secondary registration list. Recent report cards, transcripts, an IEP/IPRC statement and relevant medical or transition plans may also help the receiving school prepare, even when they are not standard admission documents. Ask for a secure way to share sensitive records.

Catholic eligibility for elementary school

The standard route accepts a baptismal certificate from a Roman Catholic Church or a Catholic Church in communion with the Holy See of Rome for the student or a parent. If neither has a qualifying certificate, do not rely on a general online answer. YCDSB Policy 226A contains limited discretionary categories that require Admissions review.

  • Christian Orthodox baptism: may be considered under YCDSB’s stated process; confirm the certificate and approval route.
  • Preparation for Catholic baptism or Profession of Faith: temporary current-year admission may apply in the defined policy circumstances.
  • Newly landed immigrant or refugee: a Declaration of Catholicity route may apply when standard documentation cannot be produced.
  • Mitigating circumstances: the Director has limited discretion; this is not a general open-admission promise.

A useful question is: “Neither the child nor a parent currently has the standard certificate. Could Admissions confirm in writing whether a Policy 226A category applies and which documents are required?”

Kindergarten age and attendance

  • Junior Kindergarten: the child turns four by December 31 of that calendar year.
  • Senior Kindergarten: the child turns five by December 31.
  • A child may still be three on the first school day and qualify for JK.
  • JK is optional; a child who does not attend enters the age-appropriate SK year.
  • Families seeking part-time Kindergarten should register at the home school and discuss the arrangement with the principal.

Readiness is not a race to master reading or mathematics before September. Communicating washroom needs, asking for help, managing clothing and lunch containers, following familiar routines and feeling safe with trusted adults matter greatly in the first weeks. Boundaries and out-of-boundary requests

The parent or guardian’s residential address normally determines the designated home school. English track, French Immersion, PACE and secondary boundaries may differ.

  • Elementary families normally register at the home school first, then submit a TCH19 request.
  • Secondary transfers use the applicable TCH19A process and current annual dates.
  • Approval depends on capacity, class organization, programming and board criteria; it is not guaranteed.
  • Each sibling needs a request. Sibling consideration is not an entitlement.
  • Grade 8 attendance outside the home boundary does not automatically create a right to that feeder secondary school.
  • Out-of-boundary approval generally does not include transportation.

Newcomer and international situations

Newly landed immigrants, refugee claimants, children of work- or study-permit holders, diplomatic families, international students and families arriving from another province may use different routes. Tell Admissions the child’s exact status, whether the child is expected to be fee-paying and whether custodianship or guardianship documents apply. Do not apply an international-student exception to a local non-fee-paying application without written confirmation.

Learning, medical and immunization information

If a child has an IEP, IPRC decision, disability, communication need, safety plan or difficult transition, tell the receiving school and request a transition meeting. Share what helps the child participate successfully, not only a diagnosis. Registration does not by itself create a complete medical plan; ask which anaphylaxis, asthma, diabetes, epilepsy or medication forms are required.

York Region immunization reporting is separate from YCDSB registration. Parents must update the child’s record directly with Public Health; health providers and schools do not automatically do it for the family. Review York Region’s immunization instructions.

After the online form

  1. Watch for the confirmation and appointment email, including the junk folder.
  2. Bring the requested original documents.
  3. Ask what remains outstanding and who is reviewing it.
  4. Obtain confirmation of school placement; treat program, transfer and transportation as separate decisions.
  5. Share learning, medical and transition information through the school’s secure process.
  6. Check transportation separately through SchoolBusCity.
  7. Ask about orientation, parent communication and any additional program steps.

If a document is missing or admission is denied

Ask for a precise written answer: Which requirement is not satisfied? Which policy section applies? Is an alternative document or discretionary category available? Who decides, and when should a response arrive?

Policy 226A permits a written appeal of an elementary admission decision to the Associate Director on process, procedure or mitigating-factor grounds. Policy 226B requires written reasons for a secondary denial and provides a written appeal route to the appropriate Secondary School Superintendent. An appeal does not guarantee a discretionary or out-of-boundary request. Keep the application, documents, decision and a short chronology together.
